FHI 360 serves more than 60 countries, all 50 U.S. states and all U.S. territories. We are currently seeking qualified candidates for the position of EpiC Uganda Operations Officer.
Meeting Targets and Maintaining Epidemic Control (EpiC), a five-year global project funded by the U.S. Agency for International Development (USAID), is dedicated to achieving and maintaining HIV epidemic control and preventing, preparing for, responding to, and bolstering health systems to address COVID-19. While originally designed as a HIV program, EpiC has been modified to accept COVID-19 funding and is currently are implementing COVID-19 activities in 45 countries.
In Uganda, EpiC activities will focus primarily on supporting the Ministry of Health (MOH) to improve vaccine uptake across the country to reach 70% vaccine coverage of the eligible population. Activities include COVID-19 vaccine service delivery, demand generation, surveillance and data collection, social and behavioral change activities, private sector engagement and human resource capacity development and technical assistance.
Job Description:
The EpiC Uganda Operations Officer will support the EpiC Uganda project office in procurement, inventory of goods & commodities, logistics, and other operations and administrative functions of the office. Reporting to the EpiC Uganda Finance and Operations Manager, they will also assist in maintaining documentation and reporting on goods & commodities, inventory management, logistics support and supporting security requirements of the project team. The position is based in Kampala, Uganda.
Position Responsibilities
Administration
– Provide support to and coordinating project administrative activities within FHI 360, USAID and other donor guidelines and regulations.
– Serve as point of contact for logistical and administrative needs.
Coordinating all administrative support services for the office.
– Coordinate logistical organization of workshops/seminars/conferences and trainings for partners and clients.
– Coordinate all travel details/logistics for program staff, consultants and other visitors including booking hotel accommodations and arranging for airport and hotel pick-ups.
– Coordinate all records and storage of supplies for assigned offices.
– Responsible for checking stationery and the office supply stock monthly.
– Sign out equipment to be used outside of the office on a first-come-first-serve basis on a written request. Records a request and kept in a logbook.
– Support the respective project staff on preparation and processing of the Authorization for Domestic Travels as well as Expense Authorization Form.
Supports office leadership to maintain an inventory of all EpiC office property.
– Responsible for ordering the taxi, including ensuring that the company is aware of the scheduled meetings.
– Ensure the switch off the electric devices at the work end.
– Perform duties on visa support.
– Perform other functions related to the administration as assigned by the EpiC Uganda Finance and Operations Manager.
Qualifications
– Minimum of high school diploma or its international equivalent; Bachelor ‘s Degree in Business Administration or a related field preferred; higher education preferred.
– At least 4 years of experience in administration and warehouse management.
– Ability to manage the work of product loaders.
– Knowledge of sanitary rules and regulations requirements for warehouses and storage of goods & commodities.
– Experience in maintaining documentation and reporting on the flow of goods & commodities in warehouse; ability to work with spreadsheets.
Computer skills at the level of an experienced user (MC Word, Excel, Outlook);
– Must exhibit high levels of professionalism, integrity and ethical values at all times.
– Able to manage tight deadlines and deliver high volumes of work with minimal supervision.
– Excellent written and oral communication skills.
– Fluency in English is required.
– Position open to Ugandan nationals or individuals who reside in Uganda and have the legal authority to work in country.
Travel Requirements:
– 10-15% within Uganda
